POSITION SUMMARY:

The primary responsibility of the Office Manager is to provide support throughout all aspects of the Office of Student and Academic Services (SAS).  This includes managing areas including Academic Advisement and Registration, Career Services, Alumni Services, Graduate Admissions and Registration, and Technology Development.

DUTIES AND RESPONSIBILITIES:

Maintains positive office environment by being first point of contact for students and guests to the office and directing them to appropriate resource

Act as main contact person for field clearances, and manage the process of recording, verifying and processing clearances for all SOE students (undergraduate and graduate)

Serve as the main contact person for PDE TIMS applications, PDE certifications, and requests for out-of-state certifications, including providing information to the OSTFP to share with student teachers and processing applications in PDE TIMS.  Also preparing letters and forms for signatures including status letters and completed certification requirements as needed from faculty, Dean, ADTE, Registrar.

Maintain highly confidential records such as undergraduate student files

Communicate via phone and email services offered by SAS, School of Education and Duquesne University

Organize office layout and order office supplies when necessary

Assist in development and distribution of freshman information packets, create new student files, prepares Freshmen Advisement Information Session (F.A.S.T.) documents, and assists with Orientation and School of Education events

Supports Student Success Coaches in daily tasks and Banner/JED updates or provides office assistance for Student Success Coaches and Banner/JED updates

Act as the main person to send mass email communications to groups of SOE students

Design filing and recording systems.

Completes other duties as assigned

REQUIREMENTS:

Minimum qualifications:

High school diploma or equivalent

Preferred qualifications:

Alternately, the successful candidate may possess any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential job functions. This includes, but is not limited to, the following:

Demonstrates the capacity to collaborate in a professional manner with individuals, committees, and across the school

Works collaboratively, through listening and supporting the work of the School of Education

Demonstrates understanding of sensitivity to the organizational structures of the institution and then relationships needed to negotiate those structures

Team building and team leadership skills demonstrated through the capacity to inspire a shared purpose among the people he/she works with and when necessary can constructively use disagreements to strengthen working relationships and the ability to delegate responsibilities when appropriate

Demonstrates the capacity to work within the time frames of the School of Education and the University as a whole

Strong analytical, problem solving, time management, and organizational skills

Excellent oral and written communication skills
