Position Summary
Manage all business services of Facility Operations by overseeing personnel, adhering to budgets, tracking expenditures, and supporting departmental procedures to ensure prompt service to the University community.
Essential Duties and Responsibilities
- Manage business services including but not limited to procurement, accounts payable, and reconciling budget balances to Banner, the University’s financial system.
- Manage the interdepartmental charge process by establishing rates each calendar year, submitting entries to the Budget and Finance Office, and recording activity in the applicable budget.
- Process approved utility payments via online portals and forward invoices with summaries and backup to Accounts Payable after processing.
- Maintain comprehensive utilities records with detailed consumption, monthly costs, annual comparisons, and consumption/cost projections.
- Improve and maintain the department’s website by meeting with stakeholders and implementing changes.
- Maintain the master schedule of the department to improve communication internally and with University stakeholders.
- Assist potential donors with purchasing a tree, building sign, bench, or plaque to be installed at the University for various reasons.
- Manage and provide technical support for various departmental systems.
- Supervise the Business Operations Coordinator and the Business Operations Assistants (students).
- Perform other duties as assigned.
Minimum Qualifications
- Bachelor’s degree in business administration, accounting, or related field or an equivalent combination of education and/or experience.
- Advanced knowledge of accounting, budget, and/or finance practices or principles.
- Desire to exemplify and support the service-oriented mission and vision of the University.
Preferred Qualifications
- At least two years’ experience in a similar position with supervisory responsibility.
- Experience using Banner by Ellucian.
Knowledge, Skills, and Abilities
- Efficient time management and ability to work independently or with a team.
- Strong leadership skills and capacity to support team members.
- Excellent oral and written communication skills with attention to detail.
- Advanced computer literacy and comfortable with Microsoft 365 applications.
- Maintain a professional appearance and demeanor.
Physical Requirements
Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping. Occasionally lift average weight objects (1 to 10 pounds).
Work Environment
Regular exposure to favorable conditions such as those found in a normal office.
Licenses/Certifications
A valid driver’s license with a good driving record.
Salary/Pay Information
$50,000/Annually
Anticipated Schedule
Monday – Friday, 7:30 AM – 4:00 PM
