Position Summary

The Faculty Affairs Associate (FAA) is responsible for ensuring compliance with WCMC and University statutes and with state and federal law. The FAA supports the Faculty Affairs Manager (FAM) and team in managing the Committee of Review (COR). The COR is comprised of 17 members of the faculty who review and approve all senior faculty appointments, promotions, and tenure at WCMC and its affiliates. The FAA supports functions including membership, meetings, ad hoc tenure review subcommittees, Qatar ad hoc subcommittee and running tenure evaluations. The FAA supports the administrative functions of the Committee of Review and the Office of Faculty Affairs (OFA). This role is tasked with supporting the office on special projects as assigned. The successful candidate will possess the highest level of discretion and ethical judgement in order to fulfill the requirements of this position.


Job Responsibilities

• Maintains confidentiality of Committee and evaluation processes per the guidelines of the Academic Staff Handbook and University and statutory regulations.
• Prepares documentation for upper level academic evaluations. Reviews documents, curriculum vitae and all components of evaluation dossiers and generates appropriate templated material for dossiers.
• Assists with troubleshooting gaps in submitted material, edits evaluation dossiers for adherence to standards, completeness, accuracy and appropriateness. Resolves any problems with dossiers.
• Processes requests for evaluation of recommendations for senior faculty appointments and promotions for assigned Weill Cornell Medicine departments in an accurate and timely manner.
• Runs evaluations for tenure awards including assembling ad hoc subcommittees, scheduling, recording and transcribing meetings, soliciting evaluations from external evaluators.
• Utilizes the Academic Staff Handbook to instruct and advise faculty, as well as academic departments, in the preparation of appropriate documents for evaluations and appointments.
• Coordinates the solicitation of recommendation letters from evaluators received on behalf of prospective senior faculty candidates. Tracks responses to ensure timely processing of evaluation requests and ensuing recommendations.
• Processes appointment recommendations for all levels of faculty and non-faculty appointments, reappointments, promotions, changes in title, leaves and terminations for assigned Weill Cornell Medicine departments.
• Assists in the receipt of all academic appointment-related documents and disseminates for further processing. Examines submitted paperwork and extracts data for input into departmental database.
• Facilitates the receipt of appointment documents. Follows up with departmental contacts after appointment review. Resolves outstanding issues to ensure timely processing of approval. Keeps abreast of changes in appointment processes and policies.
• In an advisory capacity, accurately answers routine and complex inquiries about academic appointment procedures and policies, in particular about the evaluation process. Refers difficult questions to the Faculty Affairs Manager.
• Maintains faculty demographic, professional and appointment information. Monitors the progress of an appointment through the OFA system. Maintains appointment updates, extensions, or terminations as needed.
• Prepares all relevant correspondence pertaining to appointments, promotions and tenure; e.g., confirmation letters, COR memos to Departments, Dean and Office of the Secretary.
• Performs data entry and prepares draft documentation for the Committee of Review. Assists with records maintenance for all Committee of Review, evaluation, and appointment documentation.
• Under supervision, supports the logistical operations of data initiatives, e.g., drafting agenda, scheduling meetings, managing virtual meeting interfaces (e.g., chat window and waiting room), and taking meeting minutes.
• As needed, manages preparation of digital files for addition to database(s); makes corrections to e-files as needed; manages additions to existing files.
• Provides reports to Administrative Leadership Assists in analyzing faculty data in support of preparation of both scheduled and non-scheduled reports for OFA and College Leadership
• Maintain tenure dashboard for tracking status of workflow steps.

Education

• Bachelor's Degree or equivalent

Experience

• Approximately 3-4 years of related work experience.

• High level of cultural competency.
• Must possess outstanding customer service skills. Compassionate, courteous, and helpful interpersonal demeanor. Must be able to maintain tactful interactions while handling a continuous stream of high volume inquiries.
• Demonstrated organizational skills; capable of working independently and as a team member.
• Demonstrated proficiency with MS Office Suite and database applications.
